TeamViewer offers you multiple conferencing solutions. Depending on hardware requirements, you can communicate directly via VoIP for business calls or start a video conference using TeamViewer. Online meetings enable you to communicate with colleagues and customers, wherever you are. Up to 25 participants can join a video or teleconference, depending on the paid licence you have.

Two Ways to Hold a Web Conference

Plan a meeting with TeamViewer and invite the relevant participants in three steps:

  • First, start TeamViewer and select the ‘Meeting’ tab to log in with your account.
  • Create a new meeting and set the date and time. The meeting you create will be assigned a meeting ID, which you can send to participants by email or over the phone. You can also define a password that participants have to enter.
  • To begin the meeting, select the relevant meeting in ‘My Meetings’ and wait for the participants. They can either log in using the email link or the URL https://go.teamviewer.com and meeting ID (depending on your settings, a password may also be required).

If you want to connect with one or more colleagues spontaneously, you don’t even have to create an online meeting first. There’s a quicker way:

  • Select ‘Presentation’ under ‘Schedule a Meeting’ in the ‘Meeting’ tab – for example while phoning a colleague – and start a web conference straight away.
  • The ‘Invite’ button allows you to send a participation link to colleagues. Alternatively, you can pass on the meeting ID directly over the phone.
  • As soon as a colleague has logged in, they will immediately see your screen and you can show them the current version of a presentation or explain an application, for instance.

Participants in an online meeting can have different roles with different authorisations:

  • Organiser: At the start of the meeting, the person who created the event is the organiser. They can also delegate the role to someone else during a meeting. The organiser essentially has all rights and can restrict the rights of other participants.
  • Presenter: The presenter is the person whose screen can currently be seen by the other meeting participants. This is the initiator’s screen at the beginning of the meeting, but it can be changed as often as necessary during a conference.
  • Participants: All other attendees of a meeting are participants; they can view the contents of the presenter’s shared screen.

The organiser has the right to expel participants from online meetings or VoIP calls and to disable webcam broadcasting for all participants. The presenter also has a number of rights. Their screen is visible to the others and they can set whether they’d also like to transmit their computer’s audio. Moreover, the presenter can record the session and create a video recording of the whole meeting.

Other communication options are also available: this includes a file box which the meeting organiser can either unlock or lock. Plus, there’s the online whiteboard: the presenter is able to unlock this for all other participants, who can then write on the whiteboard, add annotations or mark areas on the screen. This makes it easier to illustrate points to other meeting participants.
